The contract timeline is as follows:

The framework agreement begins with the award of the contract and is set to end on January 31, 2030.

There is a possibility of extension; if the Rentenbank extends its participation in the GROUP AGREEMENT by one year, the framework agreement will automatically extend until January 31, 2031.

Key dates and milestones include:

• End of the offer period: October 9, 2026, 12:00 PM.
• End of the award and binding period: March 31, 2027.

The core scope of work for this tender involves the conclusion of a trading partner agreement for the procurement of Microsoft licenses including support. The contractor is obligated to provide ICT services in accordance with Regulation (EU) 2022/2554 (DORA).

The core deliverables and Statement of Work summary include:

• Enterprise Agreement (EA) Platform Accession: The contractor will act as a trading partner to support Rentenbank's accession to the Enterprise Agreement platform under the existing group contract between Microsoft and the Federal Republic of Germany. This involves creating all necessary documents, managing the accession process, and ensuring compliance with regulatory requirements, particularly DORA.
• Software Assurance for Existing Licenses and New Individual Licenses: The contractor will ensure the continuous procurement of Software Licenses, Software Assurance (SA), and Software Subscriptions for the products listed in Annex 2 of the trading partner framework agreement.
• Free Services (Kostenfreie Serviceleistungen):
• Billing and Invoicing: Management of billing with the manufacturer and dispatch of invoices to the client.
• License Management: This includes managing existing and newly acquired or rented licenses, responding to inquiries regarding the current license inventory, reporting licenses to the manufacturer, ensuring proper inventory management within the Microsoft Volume Licensing Service Center, providing early TrueUp reminders, preparing TrueUp offers, conducting compliance checks for TrueUp/annual reports, and reporting TrueUp values in a contract-compliant manner.
• Paid Services (Kostenpflichtige Serviceleistungen) (to be provided based on an agreed hourly rate via individual orders):
• Product and License Consulting: Proposing suitable products, solutions, and necessary licenses based on Rentenbank's requirements, answering general questions not related to the current license inventory, and comparing various contract and licensing options including their costs.
• Assistance with Microsoft Volume Licensing Service Center / M365 Admin Center: Providing advice and support to Rentenbank in the use and administration of these Microsoft platforms.
