The contract officially starts on February 1, 2027. It has a fixed duration of two years, concluding on January 31, 2029. The agreement can be extended twice, each time for an additional two years. This means the total potential duration of the contract, including all extensions, is six years.

• Deadline for questions regarding the First Note of Information: October 13, 2026, by 10:00 AM.
• Publication of the Note of Information: October 20, 2026 (target date).
• Deadline for questions regarding the Second Note of Information: October 27, 2026, by 10:00 AM.
• Publication of the Second Note of Information: November 3, 2026 (target date).
• Deadline for submission of tenders: November 17, 2026, by 10:00 AM.
• Award decision: December 1, 2026 (target date).
• Optional verification interview: December 10, 2026.
• End of the suspensive period for objections from other bidders and expiry period for inadmissible summary proceedings: December 21, 2026.
• Final award: December 22, 2026 (target date).
• Kick-off meeting: January 7, 2027.
• Start of the assignment: February 1, 2027.

The agreement will also end prematurely if a maximum value of €2,500,000 (excluding VAT) is reached over its entire duration, including any extensions.

• Adherence to Critical Performance Indicators (KPIs), specifically:
• Hostmanship.
• Presence and Response times.
• Maintaining a complaint handling procedure with a commitment to respond to questions and complaints in writing by 5:00 PM the next business day.
• Providing quarterly complaint reports including details such as the reporter, complaint description, handling method, and date.
• Submitting reports within 10 days after quarterly meetings, outlining discussed points and proposed improvements.
• Ensuring transfer of services upon termination or dissolution of the framework agreement, if requested by the client.
• Completion of implementation by April 1, 2027, with demonstrable adherence to all qualitative requirements.
• Mandatory onboarding for operational management and their replacements before February 1, 2027, and training for new employees by coordinators.
• Alarm response (mobile surveillance), available 24/7, primarily when facilities are closed.
• Immediate control of locations after a control room alert, with necessary actions taken.
• Reporting of damages in writing within 1 business day, and making agreements for urgent situations during the implementation phase.
• Arrival of a security officer within 30 minutes of an alarm report from the control room.
