The contract timeline is as follows:

The contract start date is the day of the final written acceptance by the client.

The initial total duration of the contract is four years.

The client has the option to unilaterally extend the contract three times, each for two years, under the same conditions. This extension must be declared in writing 6 months before the end of the current contract period. Therefore, the maximum total duration could be 10 years (4 years initial + 3 * 2 years extension).

Key milestones and phases mentioned include:

• Execution of deliveries/services from contract award until August 31, 2027.
• A dedicated Hypercare-Phase is planned after the Go-live.
• Payment milestones are tied to project progress:
• 30% of specific positions (1 to 6) can be billed after the project start.
• Position 1 (Project Plan creation, project management, and documentation) is fully billable after its creation and acceptance.
• Position 2 (DWH Concept and implementation) is fully billable after its creation and successful implementation.
• Position 3 (CPM-Model Concept, including interfaces and reports, and installation) is fully billable after its creation and successful installation.
• Position 4 (Business Intelligence-Model Concept, data cubes, and reports, including installation) is fully billable after its creation and installation.
• Positions 5 and 6 (Support for implementation planning and implementation) are fully billable after system acceptance.
• Position 7 (Total license costs) is billable after the overall system goes live and is accepted by the client.
• Positions 11 and 12 (Training sessions) are billable after their successful completion.
• All ongoing costs during the contract are due at the end of each quarter and can be billed based on effort.

The core scope of work for this tender involves the comprehensive establishment and operation of a Business Intelligence (BI) system, ensuring the seamless functionality of existing business processes.

Key deliverables and responsibilities include:

• Implementation of BI as a Self-Service Solution: Introducing and operating BI capabilities that users can manage independently.
• Data Warehouse (DWH) Setup: Establishing a data warehouse for data storage and analysis.
• Integrated Financial Planning and Controlling: Setting up a system for integrated financial planning, including controlling functions.
• Project Planning and Management: Submission of a binding implementation plan detailing project milestones, a fixed timeline, and client cooperation obligations. The project will follow an agile management approach, preferably SCRUM, with client project leadership.
• Software and Licensing: Provision of all necessary software licenses, with the client supplying the hardware. The system must maintain current software versions and support third-party software.
• Maintenance and Support: An integral maintenance contract covering new updates and releases, error corrections, manufacturer support, access to documentation, major releases, and related services (e.g., update planning, project management, programming, administration). A dedicated Hypercare-Phase with heightened responsiveness is required post-go-live. Support will be available with a "Next Business Day" reaction time, Monday to Friday, from 09:00 to 17:00, with critical tool downtime issues to be resolved within 24 hours.
• Training: Providing administration training for up to 6 individuals and user training for up to 8 individuals.
• Personnel Requirements: The contractor must provide experienced staff and designate a specific project manager and a representative.
• Operational Requirements: The solution must be fully operational within the existing system landscape. The operational model is On-Premise, with hardware owned by the client. No data migration from the old BI system; logical reconstruction or new setup will occur in precursor systems.
• Focus Areas: The project emphasizes economic efficiency, future viability, and scalability. The contractor must demonstrate expertise in agile project management and software development.
• Service Provider: A central service provider or general contractor is required as the sole point of contact.
