The contract timeline is as follows:

• Contract Start Date: The execution of services is to begin at the latest 12 working days after a request, with the latest possible request date being January 15, 2027.
• Contract End Date: The overall completion of services is scheduled for no later than June 30, 2027.
• Total Duration: The completion of execution is specified as 123 working days after the award of the contract or the start of execution.
• Key Milestones/Phases:
• Detailed planning and system-specific documents: To be completed within 30 working days after being requested.
• Delivery, assembly, and connection of all devices and system components: To be finalized by May 31, 2027, at the latest.
• System configuration, commissioning, trial operation, and acceptance of all systems, including the completion of other services: To be fully completed by June 30, 2027, at the latest.
• Software maintenance, updates, and support: This phase will run for 12 months starting from the date of acceptance.

The core scope of work for this tender involves the delivery, assembly, configuration, integration, commissioning, and ready-for-operation handover of a digital patient platform for the Zentralklinikum Lohr am Main.

The platform is comprised of:

• Bedside-Terminal (patient infotainment)
• IPTV and media platform
• Patient communication
• BYOD (Bring Your Own Device) and mobile usage
• Digital Patient Journey
• Patient call system
• Self-Check-In
• Digital Signage
• Wayfinding
• Indoornavigation
• Interface integration
• Control functions for room automation at the patient bed

Key deliverables and services include:

• Delivery of all system-related hardware and software components.
• Engineering, parameterization, integration, and commissioning.
• Interface coordination with clinic IT and external trades (e.g., electrical engineering, IT network, call systems, telephony, room automation).
• Joint overall commissioning with other technical building equipment contractors (GA, electrical engineering, refrigeration, heating, ventilation) and the client's local object supervision.
• Documentation, training, trial operation, and acceptance support.
• Documentation: Complete digital documentation in German, including system architecture, component list, serial numbers/locations, network/IP documentation, interface descriptions, operating and administration manuals, maintenance and support information, and export of configuration data. All system configurations, parameterizations, databases, user and rights concepts, and interface configurations must be fully and comprehensibly documented.
• Training: Administrator training for clinic IT, technical administration, and authorized operator functions (covering system administration, user/rights management, content maintenance, monitoring, troubleshooting, interface overview). User training for nursing staff, patient admissions, service, information, and other defined user groups (covering bedside/patient functions, patient call, check-in, digital signage, wayfinding, ward dashboard).
• Trial Operation: Execution of a trial operation with defined test cases, error logging, rectification, and support for formal acceptance, including a test plan, interface tests, end-device spot checks, and call/signage/navigation tests.
• Maintenance and software care for 12 months, including bug fixing, security updates, compatibility updates, hotline/support channel, and remote maintenance. Optional annual continuation of software care and support services.
• Creation and implementation of an IT security and data protection concept for the operation of the digital patient platform, covering roles and rights concept, user/patient session management, logging and deletion concept, remote maintenance concept, and hardening of system components.
• Project management and coordination, including scheduling, interface coordination, discussions with specialist planning, client, user, clinic IT, and interface trades. This also includes participation in regular coordination meetings, tracking open items, and coordinating tests and acceptances.
• The contractor is responsible for the creation and coordination of workshop and assembly planning based on the execution planning.
• Provision of a ward dashboard for an overview of patient status, appointments, service requests, and system messages, accessible by authorized personnel.
