The contract is initially for a duration of one year, starting from its notification. It is tacitly renewable five times annually on the anniversary of the notification, with the total duration not exceeding 6 years.

Key milestones and phases include:

• A framing meeting between the service provider and the COPIL (Comité de Pilotage) will be organized upon market notification. During this meeting, the list of three pilot sites will be provided, and the service provider must present a detailed implementation schedule for the tool.
• A second phase, which is a test phase, will occur during the VA period and will last for two months.

The core scope of work and statement of work summary for this tender involves the maintenance, evolution, and support of software packages installed in high schools across the Bourgogne-Franche-Comté Region. Key aspects include the maintenance of existing software modules for supply and stock management, recipes and menus, and equipment and materials. It also encompasses the implementation and maintenance of a dedicated centralized module or piloting tool for multi-site activity management and decision support, accessible remotely by regional staff.

Further services include evolutionary maintenance of the software, reinforced support for the implementation of the centralized module, and technical actions for managing family/sub-family nomenclatures (creation, substitution, deletion, and operational acceptance). User training on system evolutions is a required deliverable, as is the administrative management of purchasing data, including updates to articles, price lists, and supplier information.

The tender also covers essential technical support and infrastructure, such as hosting and data backup, functional assistance, hotline support, and interventions for corrective and adaptive maintenance. Additionally, it includes the maintenance and support of interfaces with specific access control systems like Turboslef, Alise, Orcadida, and ARD. Expected deliverables also include typical phase deliverables, potentially an example user guide, and training support. An annual balance sheet with a summary of activities and updated management and quality indicator dashboards is also part of the scope.
