The contract timeline includes a start date of January 1, 2027, and an end date of December 31, 2031. The initial fixed-term contract period is until December 31, 2029. Following this fixed-term, the client has an option to extend the contract for a maximum of two (2) years. The client must notify the supplier of the potential option period usage at least three (3) months before the initial fixed-term period concludes. The option period is described as from January 1, 2030, to December 31, 2031. This makes the total potential duration of the contract five years.

The core scope of work for this tender is the provision of translation services and related services to Ruokavirasto (Finnish Food Authority) and the Food Market Ombudsman's Office. This includes the translation of new documents, as well as the updating, supplementing, and correcting of already translated texts. The primary language pairs are to and from Swedish and English, with some need for other languages. The texts are predominantly factual and often require specialized knowledge regarding terminology and content.

The Statement of Work summary includes the following core aspects that the service provider must describe:

• Service Implementation: A description of how the service will be produced and its content, detailing the supplier's operating methods, how they manage the translation process, and the execution of translation assignments. This includes how client requirements, such as translation memory hits and machine translation usage permissions, are taken into account.
• Selection of Translators and Proofreaders: Details on how the minimum requirements for translators are met, the selection process for translators and proofreaders for individual assignments, and how their vocabulary and subject matter expertise are ensured.
• Management of Subcontracting Chains: A description of how the supplier manages and monitors potential subcontracting chains as part of the service.
• Quality Assurance Methods in Service Production: A description of the quality assurance methods used in service production, detailing how the supplier and individual translators/proofreaders ensure quality at different stages of the translation process. This includes the use of client-provided instructions, glossaries, background materials, translation memories, term bases, machine translation, ensuring the accuracy of translated texts, and proofreading procedures.
