The contract timeline is as follows:

Contract Start Date:

The contract takes effect on the date of the definitive award. Specifically, the effective date of the framework agreement for both Perceel 1 and Perceel 2 is January 1, 2027.

Contract End Date:

The agreement automatically terminates after the fixed two-year term, or after the final extension if the optional extensions are exercised. It also concludes automatically if the maximum value for a given lot is reached.

Total Duration:

The contract has a fixed term of two (2) years. It includes two (2) optional extensions, each lasting two (2) years, making the potential maximum duration six (6) years. The client must provide written notice at least three (3) months before the end of the fixed term or the first extension if the agreement will not be extended.

Key Milestones/Phases:

• Tender Process Milestones (Planning dates can be adjusted by the contracting authority):
• 1st round of questions deadline: Wednesday, August 26, 2026, until 10:00 AM.
• Publication of 1st Memorandum of Information: Wednesday, September 9, 2026 (target date).
• 2nd round of questions deadline: Monday, September 28, 2026, until 10:00 AM.
• Publication of 2nd Memorandum of Information: Thursday, October 8, 2026 (target date).
• Submission deadline for bids: Thursday, October 22, 2026, until 10:00 AM.
• Delivery of clothing sample packages (for bidders in Phase 2): Wednesday, November 11, 2026, until 12:00 PM.
• Clothing wear test: Wednesday, November 11, to Tuesday, November 24.
• Announcement of award decision: Thursday, November 26, 2026 (target date).
• Objection period: 20 calendar days.
• Definitive award: Thursday, December 17, 2026 (target date).
• Post-Award Milestones:
• Implementation phase start: January 1, 2027.
• Kick-off meeting: To be planned as soon as possible after definitive award to discuss implementation, fitting sessions, clothing agreements, communication, and management information setup.
• Delivery of clothing: Expected to start as soon as possible, but no later than March 1, 2027.
• Quarterly consultations: Between the account manager and the contract owner/manager regarding service delivery.

Maximum Contract Value:

The agreement will end if the maximum value is reached, regardless of the remaining duration.

• Perceel 1: A maximum value of €400,000 (excluding VAT) over the entire term, including extension options.
• Perceel 2: A maximum value of €200,000 (excluding VAT) over the entire term, including extension options.
