The contract timeline includes the following key dates and phases:

• Awarding of Contract: Mid-November 2026
• Installation Preparation: Mid-November 2026
• Delivery: Approximately Mid-November 2026
• Installation Phase: December 2026, which includes any necessary construction measures
• End of Execution: Approximately End of December 2026

A project plan with binding dates will be established between the client and the bidder during negotiation and will become a contractual component. This project plan will be updated regularly by the contractor if changes occur. The complete system must be handed over to the client fully assembled, including acceptance testing and required instructions.

The core scope of work for this tender involves the procurement, delivery, installation, configuration, and implementation of a digital simulation and training system for medical linear accelerators (Linac) at the Westküstenklinikum (WKK). The system should be oriented towards the Varian Linac systems currently in use.

The high-level Statement of Work and core deliverables include:

• Hardware: Provision of a VR-Headset-System or an alternative 3D-Projection System, a powerful Simulation Workstation (PC), and a physical handheld control device for interacting with the virtual treatment environment.
• Software: Delivery of digital simulation and training software specifically for Linac systems.
• Services:
• System Setup: Comprehensive configuration and parameterization of all necessary system components to meet the client's requirements, with a demonstration of functionality on the live system.
• Training: On-site training for both users and administrators, including the development of a training concept, provision of training materials, and coverage of associated travel costs.
• Documentation: Provision of complete system documentation in German, encompassing manufacturer documentation, operating manuals, details of the implemented system configuration, technical documents, data sheets, and CE conformity/manufacturer declarations. This documentation must be provided in both printed and digital formats.
• Support: A 60-month software maintenance and support package, which includes telephone and electronic support, delivery of error corrections, hotfixes, security updates, minor releases, and updates. A reaction time of no later than the next business day for support requests is required, along with documentation of reported issues.
