• Implementation and Installation: The complete implementation and installation of the comprehensive system into the production environment must be finalized within three (3) months from the conclusion of the public procurement contract.
• Go-live and Handover: The system's go-live in production and the subsequent handover will take place on the first day of the month immediately following its implementation and installation into the production environment.
• Maintenance Period: A maintenance period, lasting twenty-four (24) months, commences upon the mutual signing of the handover protocol, which confirms the successful final acceptance of the system.
• Contract Validity: The contract is considered concluded on the date it is signed by the last of the contracting parties and remains valid for the duration specified within the contract. Additionally, its validity is contingent upon the fulfillment of a suspensive condition: obtaining financial security for proper contract execution and the establishment of an agreement for meeting information security requirements.
• Key Milestones/Phases: The selected bidder is required to submit a detailed content and time plan of execution, referred to as the "Plan prehoda." This plan must outline all activities and milestones and must align with the specified deadlines.
• Extension Clause: The execution period may be extended if delays occur due to a lack of cooperation, access, documentation, test environments, or necessary confirmations from the client or their existing contractors.

The core scope of work for this tender involves the delivery, installation, implementation, adaptation, integration, maintenance, and support of a comprehensive information system for the central and external pharmacy of UKC Ljubljana. The project is based on a "turnkey solution" principle and encompasses the supply and installation of all necessary software and hardware, implementation, connection with the existing Webpis system, and comprehensive user training. Key deliverables also include the establishment and commissioning of a test and production IT environment, the purchase of permanent licenses for the information system (including for handheld devices/terminals for data capture with integrated barcode and 2D code readers), and integration with WWKS2.0. Data transfer from existing systems and adaptation to the client's work processes are also part of the scope.

A critical component is the provision of technical support and maintenance for the entire solution for a period of 24 months following successful acceptance. This maintenance includes all necessary updates (unlimited), bug fixes, and user support in accordance with defined Service Level Agreements (SLA) and UKC Ljubljana IT guidelines. Basic maintenance covers bug fixes, while supplementary maintenance includes additional functionalities, extra user training, and other services as requested by the client.

The proposed solution must be a comprehensive, secure, and highly available information system, adhering to modern architectural principles and ensuring full interoperability within the client's heterogeneous environment. It must comply with modern IT security standards, UKC Ljubljana IT guidelines, and all requirements outlined in the Technical Specifications, including ISO 27001 or equivalent ISMS, GDPR, and ZVOP-2. The entire system's implementation and installation in the production environment must be completed within three months from the contract signing, with the 24-month maintenance period commencing after the successful final acceptance of the system. The supply of handheld devices/terminals for data capture is explicitly not part of this public procurement.
