The contract timeline is structured as follows:

The expected start date is September 1, 2026, with "T" signifying the day the contract is signed.

The implementation proceeds in eight distinct phases with the following deadlines from the contract signing date (T):

• Faza 1: Analiza in načrtovanje (Analysis and planning) - T + 4 weeks.
• Faza 2: Namestitev in osnovna konfiguracija (Installation and basic configuration) - T + 6 weeks.
• Faza 3: RAG sistem (RAG system) - T + 14 weeks.
• Faza 4: Strukturirani pipeline-i (Structured pipelines) - T + 32 weeks.
• Faza 5: Aplikacija za redno oceno tveganj (Regular risk assessment application) - T + 36 weeks.
• Faza 6: Uporabniški vmesnik in AI governance (User interface and AI governance) - T + 42 weeks.
• Faza 7: Testiranje in optimizacija (Testing and optimization) - T + 45 weeks.
• Faza 8: Produkcijski zagon in primopredaja (Production launch and handover) - T + 48 weeks.

The total contract duration is three years (36 months) from the date of the software's implementation. Monthly maintenance and support also commence upon the handover of the production system and the signing of the handover protocol, lasting for three years from that date. It is also stated that if the client's hardware is not available in time, the deadlines from the second phase onwards will be extended.

The core scope of work for this tender involves the procurement, implementation, and maintenance of an Artificial Intelligence (AI) software solution.

The core deliverables and statement of work summary include:

• Full implementation of the offered solution.
• User training.
• Initial import of client documents and data into the solution.
• Provision of licenses or usage rights (software rental is not permitted).
• Basic and supplementary maintenance to ensure operational functionality of the program.
• Upgrades of new and changes to existing software functionalities.
• Implementation of a RAG system for unstructured documents, enabling searching and answering content questions from both structured and unstructured documents. This system must support the capture of quantitative and qualitative reports from supervised entities, along with regulatory and internal supervisory documents.
• Development of structured pipelines for tabular data, including cross-checking, aggregations, and control logic.
• Creation of an application for regular risk assessment of supervised entities, providing source citation and exportable reports.
• Implementation of a user interface and AI governance components, such as a portal, Single Sign-On (SSO), Role-Based Access Control (RBAC), audit functionalities, and monitoring.
• Monthly maintenance, support, and upgrades for three years post-implementation.
• Additional works, which may include updating LLM models, embedding models, vector databases, regulatory adaptations, business rule adjustments, adding new data sources, configuration changes, performance and AI model optimization, development of new functionalities, user interface adjustments, integration with new systems, legislative compliance adjustments, expansion of AI services, and platform migrations.

The implementation will proceed in phases, delivering specific results:

• Phase 1: Analysis and Planning - Detailed implementation plan, architectural document, testing plan.
• Phase 2: Installation and Basic Configuration - Installed LLM model, vector database, basic API, containers.
• Phase 3: RAG System - Operational RAG with source citation, filtering, hybrid search.
• Phase 4: Structured pipelines - Cross-checking, aggregations, control logic.
• Phase 5: Application for regular risk assessment - Operational application with source citation and exportable reports.
• Phase 6: User interface and AI governance - Portal, SSO, RBAC, audit, monitoring.
• Phase 7: Testing and Optimization - Testing with client users, performance optimization.
• Phase 8: Production Launch and Handover - Production environment, documentation, training.

Migration from a separate existing IT system is explicitly excluded from this contract.
