The contract timeline is as follows:

The contract start date is the day of the award by the University of Mannheim. The initial duration is 24 months. The contract can be extended automatically by 12 months, up to a maximum of two times, unless terminated by the client four months before the contract ends. This results in a maximum total duration of 48 months.

Key milestones/phases include:

• A probationary period during the first six months of the contract, during which the client can terminate the contract without cause with two weeks' notice.
• The framework agreement automatically ends if the total order value of 1,200,000 Euro (net) is reached, even if the specified contract duration has not yet expired.

The core scope of work for this tender involves performing relocation and transport services for the University of Mannheim, primarily within and between its buildings on campus and to nearby disposal facilities. This includes a wide range of services such as relocation and transport, disassembly and assembly, disposal and clearing out (including transport to recycling facilities and proper material separation), delivery and collection of packaging and transport materials, and the storage and retrieval of well-preserved furniture, IT equipment, or other items.

A key deliverable is the ongoing warehouse management, which includes maintaining an inventory list. This inventory list must be kept in a format compatible with Microsoft Excel, accessible online, and continuously updated with specific details like running number, item designation, manufacturer, quantity, dimensions, condition, storage date, and location. An initial inventory and one-time warehouse organization, including the creation of this inventory list, are required at the beginning of the contract. The contractor is also responsible for applying and implementing necessary traffic obstruction measures in public areas.

The services will handle approximately 250-350 relocation and transport measures annually, with most being small to very small relocations. These moves can be triggered by various reasons, including relocations to and from interim spaces due to construction, structural changes in space allocation, or general disposal and storage requirements. The contractor must meet specific reaction times, ranging from 10 to 20 working days depending on the size and nature of the relocation, and within one working day for elevator failures in the university library. The framework agreement has an estimated initial volume of around 500,000 Euro over two years, with an upper limit of 1,200,000 Euro without VAT.
