The contract timeline is as follows:

The estimated notification date is mid-December 2026. The contract takes effect upon its notification. The estimated start date of services is January 2027, with an estimated end date of December 2030. The initial duration of the contract is twelve (12) months, and it is renewable three (03) times by tacit renewal for additional periods of twelve (12) months each, without exceeding a maximum total duration of four (4) years.

The core scope of work for this tender involves the storage of physical copies for the Institut français and the logistics for sending and returning these copies to diplomatic, consular, and cultural posts abroad.

The Statement of Work summary and core deliverables include:

• Storage of various materials: This encompasses 35mm and 16mm film reels, DCPs, Blu-Rays, DVDs, Betas, VHS, Umatic, HDCAM - DVCAM, and associated documentation.
• Verification, conditioning, and inventory: This service includes integrating new Blu-Ray and DCP copies (with or without verification), conditioning them, and adding them to the inventory. It also covers the verification of existing copies across all supported formats, including physical and digital content integrity for DCPs.
• Maintenance, repair, and destruction of copies: Services provided include cleaning film reels and the destruction of various media types such as film reels, DVDs, Blu-rays, other video supports, Beta, VHS, DCPs, and documentation.
• Management of movements and shipments of copies: This involves processing orders from posts, preparing and packaging copies for shipment via private transport or diplomatic pouch (for film, DCP, Blu-Ray, DVD, Beta), and managing local courier services within Paris and its immediate surroundings.
• Management of dematerialized file shipments: This includes the handling of dematerialized file transfers (de-archiving and sending) for the Institut français and diplomatic posts, as well as the storage of dematerialized elements (e.g., DCP, Prores) on LTO VIII.
• Definitive exit of copies: This covers the permanent removal of copies (film, DCP, Blu-Ray, DVD, Beta) for donation purposes to entities such as rights holders, archives, or cinematheques.
• Stock relocation: This involves the integration of stock held by a previous contractor at the start of the contract and making the current stock available at the end of the contract, including both physical stock and computerized inventory entry within a 45-day period.
