Vzdrževanje poslovnega informacijskega sistema SAP

The maintenance contract is to be concluded for a period of thirty-six (36) months from the date of mutual signing of the contract. The contract value without VAT is valid until the end of the thirty-seventh (37th) month from the date of mutual signing of the contract. The offer itself must be valid for five (5) months from the deadline for submission of bids.

The core scope of work for this tender involves the maintenance of the SAP business information system. This includes both the application and system parts of the information system.

Key deliverables and services for the application part of the information system include:

• Planning and execution of appropriate settings on the SAP ECC platform and the SAP PO integration platform according to client requirements.
• Planning and execution of functional expansions on the SAP ECC platform as per client requirements.
• Consulting the client on necessary changes.
• Providing expert assistance to the client's staff responsible for the information system's operation.

For the system part of the information system, the contractor must ensure a specified service maintenance level, which includes:

• Responding to an unlimited number of reported disruptions and errors.
• Adhering to contractual working hours, a contractual readiness regime, response times, and an error correction regime.
• Accepting reports of disturbances and errors through the contractor's service center (SC).
• Allowing the client to submit service requests (including reporting disturbances, errors, and other services) and to obtain information regarding these requests.
• Providing 5 calls per month, each lasting up to 10 minutes.
• Preparing monthly reports on all services rendered and documentation produced, which are attached to invoices.

Specific tasks within the system maintenance scope involve:

• Eliminating all disturbances and errors in software based on reports from the client's professional service department.
• Assisting with the management and administration of SAP software.
• Correcting deficiencies in custom-adapted software code and standard SAP software code (bug fix releases and remedial software patches).
• Installing upgrades, new versions, and newly developed functionalities.
• Implementing adjustments to the system to comply with legislative changes.
• Implementing newly developed functionalities and minor upgrades related to the integration of good business practices.
• Performing other services directly related to the information system as agreed upon with the client.

Additional deliverables include the creation of technical, professional, and user documentation, which must be provided in Slovenian or English, with user manuals for end-users explicitly required to be in Slovenian. All such documentation created under the contract becomes the property of the client. The contractor is also responsible for ensuring the continuous availability and functionality of the information system 24 hours a day, 365 days a year. The SAP ECC platform supports information systems for all Slovenian Railways economic companies, utilizing modules such as FI, CO, MM, SD, AA, PS, RE-FX, IM, PP, and HCM.
