The contract includes an option for two extensions, each for up to 12 months, provided notice is given at least three months before the current term expires. The maximum possible duration of the contract is 48 months.

• January 2027 onwards: Commencement of content editing for the family portal, maintenance and updates to the family portal, implementation of the technical expansion for the calendar and map features, maintenance of the Content Management System, ongoing development and quality control, marketing and press support, establishment of a public inquiry mailbox, implementation of participatory elements, involvement with networks and stakeholders, management and evaluation of user statistics, and project management activities.
• December 2028: Creation of the project final report.

The core scope of work for this tender involves the comprehensive management, development, and maintenance of a "Familienportal Brandenburg" (Family Portal Brandenburg) and related IT solutions. The high-level summary of the Statement of Work and core deliverables includes:

• Project Management: This encompasses creating a project structure plan, conducting regular meetings (workshops, team meetings, jour fixe), preparing and maintaining complete project documentation, implementing risk management, ensuring project quality, and drafting a final project report.
• Content Redaction and Portal Maintenance: Ongoing content editing for the family portal, including text redaction, annual text inquiries from relevant departments, research, data collection, and text processing.
• Technical Development and Maintenance: Implementing the technical expansion of the calendar and map features for family offers, continuous updates and maintenance, and managing the Content Management System.
• Further Development and Quality Control: Continuous development and quality assurance for both the basic and expanded versions of the portal.
• Marketing and Public Relations: Supporting press activities, handling citizen inquiries, and continuous public outreach to engage families, including setting up and managing a dedicated mailbox for inquiries.
• Participatory Elements: Implementing features like family surveys, and performing their evaluation and reporting.
• Networking and Stakeholder Engagement: Participating in network and stakeholder meetings and managing communications.
• User Statistics: Conducting and evaluating user statistics to incorporate changing family needs.
• Coordination: Overall project management and coordination with ZIT-BB and MASGZ - Referat 22.
• System and Authorization Management: Establishment of various system roles and corresponding permissions, as well as functionalities, specifically a user interface for technical administrators for routine adjustments.
• Revision-Proof Record Keeping: Ensuring secure and auditable record-keeping for all incoming and outgoing correspondence related to international legal assistance requests.
• Documentation Provision: Delivering essential system technical documents, including system documentation, installation documentation, and release notes for every software adaptation.
• Implementation Planning: Presenting a detailed implementation plan, ideally in the form of a Gantt chart.
• Self-Learning Free Text Fields: Implementation of a feature where defined free text fields can self-learn and generate a catalog from entered data per user.
• Comprehensive Search Functionality: Enabling a search capability across the entire inventory of the software solution for international legal and administrative assistance requests.
• Outgoing Correspondence Management: Addressing the functional requirements for outgoing correspondence, including defining content, business processes, administration, and editable review prior to dispatch.
• Source Code Escrow: Providing assurance that the software's source code (along with technical documentation and compiler) will either be transferred to the client or deposited with a third party (escrow agent).
